AI and automation for agencies: onboarding, reports and updates that build themselves.
Marketing, creative and digital agencies repeat the same three chores for every client: set them up, report to them each month and tell them where things stand. Most teams rebuild each one by hand. We connect them so reports put themselves together and clients can check progress without emailing you, with AI drafting the updates and the first reply to new leads.
Where agency time leaks away
Onboarding from memory
Every new client means the same welcome email, the same request for logins and brand files, and the same folders created by whoever has a spare hour.
Reports rebuilt every month
Someone exports figures from several platforms, pastes them into last month's slides and rewrites the commentary, once for each client.
Status updates on request
A client asks where their project is up to, and an account manager stops work to collect the answer from three colleagues.
Where most agencies start with us
- Step 1
Reporting first
It is the chore that comes around most often. The figures are collected on a schedule and laid into your template, with commentary drafted for an account manager to edit.
- Step 2
Onboarding next
A signed proposal sets off the welcome message, the intake form, the folders and the kick-off booking, and it shows you what the client still owes you.
- Step 3
Then a client view and the pipeline
Clients get a page showing progress and reports. New leads get a quick first reply and land in a CRM your team will actually keep up to date.
What we can build for an agency
- AI agents and assistants that draft the weekly client update from your project notes, write first-pass report commentary and reply to a new lead quickly.
- Client portals that give each client one login for progress, deliverables awaiting their feedback, past reports and the files you have asked them for.
- Dashboards and reporting that gather each client's results from the platforms you report on, where they allow a connection, and show your own workload and retainers beside them.
- Workflow automation that runs the onboarding checklist, creates the folders and tasks for a new client and raises the recurring invoice in Xero or MYOB.
- CRM setup that keeps leads, proposals and current clients in one record, so follow-ups are scheduled and nothing depends on one person's inbox.
One system behind every client account
An agency sells its team's attention, so anything that is the same for every client should not take attention at all. We build AI, automation, custom software and websites to work as one for that reason: the website and CRM bring the client in, automation sets them up, the portal and dashboards keep them informed, and AI writes the first draft of what your people then sharpen. It lives in your accounts and belongs to your agency.
Questions
What does AI and automation for agencies look like in practice?
The repeated admin around each client is handled for you. Onboarding runs from a checklist, reports are assembled from live figures, and status updates are drafted from your project notes. Account managers review and send, and no longer build each one from a blank page.
How much does it cost an agency?
It varies with the number of clients, the platforms you report from and how alike your client accounts are, which is why we do not publish a figure. We sit down with how your agency runs, write a scope that carries the cost and the time, and wait for your agreement before starting anything.
How long until reports are putting themselves together?
It depends mostly on how many sources feed a report and how consistent your template is from client to client. You get the timing in writing, in the scope, before any decision is asked of you.
Will our clients receive updates written by AI?
They receive updates your team has approved. AI prepares the draft from what is already recorded, and a person checks the facts and the tone before it goes out. Under the business terms the model runs on, your data and your clients' data are not used for training.
Can reports and the portal carry our own branding?
Yes. Reports use your template and the portal uses your name, logo and colours. To your clients it is simply how your agency works.
We already use a project management tool. Does this replace it?
Usually it sits beside it. We read tasks and progress from the tool your team already uses, where it can be connected, and build the client view and reporting from there. If it cannot be connected, the scope says so and sets out the options.
