Client portal software: your customers see where their job is up to.

A customer portal is a login where your customers see their jobs, documents and updates without ringing the office. It means fewer "where is my job up to" calls, and customers who can find things for themselves.

What your customers can do

  • Check on a job

They log in and see the stage their job is at and what happens next, in plain words.

  • Find their documents

Quotes, reports, certificates and photos are kept in one spot, so nobody hunts through old emails.

  • Send what you need

They upload a file, approve a quote or leave a note, and it lands against the right job.

How it works day to day

  1. Step 1

Your team does the job as usual

The portal reads from the system your team already updates. There is no second place to keep current.

  2. Step 2

    The customer is told

When a job moves on or a document is ready, the customer gets a message with a link.

  3. Step 3

They log in and see it

Each customer sees their own jobs and nobody else's, on a phone or a computer.

Who a portal suits

  • Trades and builders whose customers want to know where a job is up to and when someone is coming.
  • Clinics and training providers that send the same forms, results or course material to many people.
  • Accountants and bookkeepers who collect documents from clients and send finished work back.
  • Property managers who keep owners and tenants up to date on repairs and inspections.

Where the portal sits in the system

A portal is the customer's window onto work your team is already doing. It reads from your internal tool or CRM, automation sends the updates, and where AI is used it can draft a status note for a person to check before it goes out. Because we build AI, automation, custom software and websites as one system, the portal can be reached from a login on your website and carry your name and colours.

Questions

What is client portal software?

Client portal software gives each of your customers a private login where they can see their own jobs, documents and updates. Some businesses call it a customer portal. Ours is built for your business, so it shows what your customers ask about most.

How much does a client portal cost?

It depends on what your customers need to see and which systems it reads from, so we don't put a number on the website. We look at how the business runs and write up a scope with the cost and time in it. Nothing is built until you have agreed to it.

How long does a portal take to set up?

It varies with how much the portal shows and how tidy the information behind it is. You see the expected time in the written scope, before you commit to anything.

Who owns the portal and the customer information in it?

You do. The portal sits in your own accounts and belongs to your business, along with everything in it. How it works is written down. Where AI is used, the model runs under business terms and does not train on your data.

Can one customer see another customer's information?

No. Each login only shows the jobs and documents that belong to that customer. We test this on real jobs before the portal is handed over.

Do my staff have to update the portal as well as their own system?

No. The portal shows what is already in the system your team works in. If you do not have one place for jobs yet, we can build that first and put the portal on top of it.

30 minutes to talk through how your business runs. No charge.
