Custom internal tools: for the job your spreadsheet has outgrown.

Most businesses run a key job out of a spreadsheet long after it stopped coping. We build custom business software to replace it: one place for your team to do the work, with the right people seeing the right things.

What an internal tool does

  • One place for the work

Jobs, customers and stock sit in one tool, so nobody has to ask which file is the latest.

  • The right people see the right things

Office staff, the floor and the owner each get the screens they need, and nothing they should not change.

  • A record of who did what

Every change is saved against a name and a time, so a mistake can be traced and put right.

How a day runs on it

  1. Step 1

    The job goes in once

Someone enters the details on a simple form. The tool checks the obvious mistakes as they type.

  2. Step 2

Everyone works from the same record

The next person picks the job up where it was left, with the notes and files attached.

  3. Step 3

    You see where things stand

Open one screen to see what is waiting, what is underway and what is finished.

Signs you have outgrown the spreadsheet

  • More than one copy of the file is going around, and people argue about which one is right.
  • Only one person can have it open at a time, or changes get overwritten.
  • The same details get typed into the spreadsheet and then again into your accounting or quoting system.
  • One person understands the formulas, and things stall when they are away.
  • You cannot answer a simple question about the business without an hour of sorting and filtering.

How it fits with everything else

An internal tool is usually the middle of the system. Automation feeds it from your other tools, AI can draft or sort work inside it with a person checking, and a dashboard or client portal can read from the same records. We build AI, automation, custom software and websites to work as one, so the next piece connects to this one when you are ready. As an example of the work, HiTech Trusses, a truss fabricator, moved off one shared spreadsheet and onto one system with four modules: quoting, MYOB, MiTek CRM and inventory.

Questions

What are custom internal tools?

Custom internal tools are business software built for your own team, around one job your business does every day. They replace the spreadsheet, the shared inbox or the paper form that the job has outgrown, and they are shaped to how you already work.

How much does an internal tool cost?

It depends on the job and how much it has to connect to, so we don't publish a figure. We look at how your business runs, then write up a scope with the cost and the time in it. Nothing starts until you agree to it.

How long does it take to build?

That depends on how big the job is and how many other systems it touches. The written scope says how long it will take, and you read that before anything is built.

Who owns the software?

You do. It is set up in your own accounts and stays yours. How it works is written down, so your team or another developer can pick it up later.

Can it connect to the software we already use?

Usually, yes. Most accounting, email and calendar systems can pass information in and out. We check each connection when we look at the business, and the scope says plainly what will connect and what will not.

What happens to the data in our spreadsheet?

We move it across as part of the job and check it against the original before anyone relies on it. We test the tool on real jobs, hand it over and train your team, then keep improving it.
