Quoting automation: drafted from the job, checked by your team.
Most quotes are built from the same parts every time: the job details, your price list and your terms. We set up quoting so the draft is put together for you and a person on your team checks it before it goes out. After that, the follow-up happens on a schedule you choose.
What it does
Drafts the quote
Job details from a form, an email or a plan are matched to your prices and rules and laid out in your quote template.
Keeps one version
Every quote and every revision sits in one place, so the team is never unsure which copy is the current one.
Follows up
If a customer has not replied, a reminder goes out or a task lands with the right person. It stops once they answer.
How a quote runs
- Step 1
The job details come in
From your website, your inbox or a staff member filling in a short form on site.
- Step 2
A draft is prepared and checked
Your estimator reads the draft, changes what needs changing and approves it.
- Step 3
It is sent and tracked
The quote goes to the customer, its status is recorded, and follow-ups are lined up from that date.
Where your team stays in charge
- Your prices, margins and terms are set by you and can be changed by you.
- No quote leaves the business until someone on your team has approved it.
- Unusual jobs are flagged for a person to price by hand.
- Follow-up messages are written in your wording, and you choose how often they go out.
How quoting fits with everything else
An accepted quote should not need typing in again. It can become a job, an invoice in Xero or MYOB, and a line on your dashboard. That is why we build AI, automation, custom software and websites as parts of one system. As an example of the kind of work, we moved HiTech Trusses, a truss fabricator, off one shared spreadsheet and onto one system with four modules: quoting, MYOB, MiTek CRM and inventory.
Questions
What is quoting automation?
It is a quoting setup, sometimes called automated quoting software, that prepares the quote from the job details and your own pricing. Your team checks and approves it, and the system looks after the follow-up.
How much does a quoting system cost?
It depends on how you price. A fixed price list is a simpler build than quotes worked out from plans and measurements, so we do not publish a number. We look at how you quote now and put the cost in a written scope. You decide after reading it.
How long does it take to build?
The time follows from how many kinds of quote you send and what the system has to connect to. Both are set out in the scope, alongside the cost, before any work begins.
Does AI send quotes without anyone checking them?
No. Where AI helps to read the job details or prepare the draft, a person on your team checks it and approves it before the customer sees it. The model runs under business terms and does not train on your data.
Can it work from our existing price list?
Yes. Most businesses already have their prices in Excel or in their accounting software. We build from that, and set it up so you can update prices yourself without calling us.
Which businesses is this suited to?
Any business that quotes before it gets the work. That includes trades and construction, fabricators and suppliers, property management, training providers and professional services firms.
